What makes an invoice get paid on time
Most late payments start with an invoice the customer can’t act on: no clear due date, no payment details, or a total they can’t trace back to what they agreed.
The checklist beside the form looks for the essentials, weighting the ones that stop payment (invoice number, both parties’ details, dates and terms, line details and how to pay) three times as heavily as the helpful extras.
Billing a larger customer who issued a purchase order? The PO invoice generator adds the PO number and checks your lines against it.
From one site to every site
Selling to restaurant groups, schools or hospitals?
Multi-site buyers match every supplier invoice to an order and a delivery before they pay. Bollard is the procurement platform that does that matching, so invoices that line up are approved without anyone chasing them.
- Invoices matched to the order and receipt
- Approvals routed to the right site
- Payments on time, discounts honoured
- One place for every site’s spend
Questions
Frequently asked
What should an invoice include?+
Your business name, address and contact details, a unique invoice number, the invoice date and payment terms (so the due date is clear), the customer’s name and address, a line for each item or service with quantity and price, any tax, the total, and how to pay you. Many countries also require your tax ID.
Can I use it for services, not just goods?+
Yes. Each line takes a description, quantity, unit and price, so it works for hourly work (unit HR), fixed-fee services, catering, consulting or one-off supply. The item code column is optional and is left off the PDF if you don’t use it.
How is the due date worked out?+
From the invoice date and the payment terms. “Net 15” means payment is due 15 days after the invoice date; “Due on receipt” means it is due straight away.
My customer gave me a purchase order number. Which tool should I use?+
Use the PO invoice generator. Larger customers match every invoice to their purchase order before paying, so that tool adds the PO number, imports the PO lines and checks prices and quantities against it.
Is it free and private?+
Yes. There is no sign-up and no watermark, and the PDF is created in your browser. Your draft is saved in this browser so it is there next time.
